Trauma Data Specialist

Data Abstraction, Coding, and Quality Monitoring

  • Perform concurrent and retrospective data abstraction from trauma patients’ medical records

  • Interpret patient clinical data to accurately identify every injury, diagnosis, procedures, complications and deviations from standards of care, and enter into electronic database

  • Assign appropriate codes for each diagnosis, operation and procedure based on the International Classification of Diseases and Procedures, along with appropriate E-Code.

  • Assign appropriate score for each identified injury based on the Association of the Advancement of Automotive Medicine’s Injury Scaling System (AAAM-ISS)

  • Assign appropriate codes for each untoward event and non-compliance to International trauma standards based on the National Trauma Database Dictionary

  • Maintain knowledge of ICD and trauma coding standards, reporting and information policies

  • Demonstrate continued achievement of high standards of trauma coding in order to ensure that both clinicians and managers maintain a high level of confidence in the quality of trauma registry data

  • Generate trauma registry reports, as assigned, for research, injury prevention efforts, annual reports and ad hoc requests

  • Assist in data collection for statistical analysis and research

  • Assist in training other Trauma Data Specialists

  • Maintain confidentiality of trauma registry data per HMC patient confidentiality policy

  • Participate in Trauma Registry and HMC educational activities


  • Maintain clinical skills and protocol evaluation by assisting in patient care during trauma codes/ trauma team activations

  • Maintain verification of successful completion of a clinical advanced trauma course

  • Perform daily clinical patient rounds for review of trauma care with attention to quality of care based on International trauma care standards

  • Demonstrate knowledge of the principles of trauma patient care

  • Serve as resource for trauma-related healthcare providers

  • Identify appropriate cases and enter into electronic database

  • Maintain knowledge of clinical practice standards

  • Assist in the development of clinical guidelines and protocols

  • Participate in educational opportunities related to trauma or critical care

Performance Improvement

  • Interact with physicians, nursing staff and other healthcare providers to ensure data accuracy

  • Serve as resource and provide guidance on clinical documentation to peers and healthcare providers

  • Maintain knowledge of international trauma center and system standards as outlined by accrediting bodies—i.e., Accreditation Canada International (ACI) and American College of Surgeons’ Committee on Trauma (ACS-COT)

  • Participate in the HMC trauma performance improvement and patient safety program through identification and electronic entry of all adverse events defined in the data dictionary of the National Trauma Data Base (NTDB)

  • Participate in the international trauma performance improvement and patient safety benchmarking program, Trauma Quality Improvement Program (TQIP) through identification and electronic entry of all required indicators, with yearly changes

  • Generate trauma registry reports, as assigned, for performance improvement program

  • Provide feedback to trauma program leadership about clinical and registry improvement opportunities

Required Education/Qualifications:

Essential Education: Bachelor’s Degree in Nursing or health-related field

Required certification/licensure

Competion ofthe Association of the Advancement of Automotive Medicine (AAAM) Injury Scaling Course within 12 months of hire (The AAAM course will be conducted on site at HMC by an external consultant)

Language Skills: English—Advanced essential

Computer Skills: MS Office

Required Experience:

6 years clinical experience in healthcare Skills
